Promote your event through our Events page on Kinsa’s website and/or provide a link to your website with Kinsa’s approval: Facebook causes, Twitter, Blog.
Approve the wording for the event promotional materials (you must obtain Kinsa’s permission to use the Kinsa logo, name and on any printed materials with our name).
Advice on event planning to ensure a successful event.
Tax receipts , if applicable, or receipting support according to Canada Customs and Revenue Agency (CRA) guidelines (see Tax Receipting below).
A support letter that validates the authenticity of the event.
Offer some guidelines to help you plan your event (See Guidelines below).
Provide funding or reimbursement for any event expenses (See Finances below).
Kinsa will not assume any legal or financial responsibility.
Provide mail/email lists such as donor lists.
Guarantee staff representatives to attend or participate in the event.
File applications for gaming licenses, e.g., bingos, lotteries or raffles.
Obtain permits, licenses and insurance.
Provide access to celebrities or sponsors, prizes, auction items, awards...
Kinsa is not responsible for any damage or accidents to persons or property.
Kinsa requires accounts detailing donations and expenses for your event.
Kinsa reserves the right to audit the financial records pertaining to your event.
Kinsa’s charitable registration number must be displayed on all your event materials.
Kinsa receives a clear file listing the names and addresses of all donors and their donation amount: First name, Last Name, Address, City, Province, Postal Code, Donation amount, Donation date, Payment method.
Tax receipts will be issued to those who have not received a product or tangible item in exchange for their donation.
The above information must be supplied to Kinsa within 90 days of the event.
Kinsa CANNOT issue tax receipts for donated services or paid services (e.g., graphic design, advertising, construction, entertainment, tent set-up etc.), or for product sales.
Form a planning committee. Decide on roles/tasks for all committee members.
Select a coordinator.
Recruit enthusiastic people to help you.
Set the date and location (give yourself adequate lead time in order to be able to plan and promote properly).
Set your goals: Budget - It is important you know all your costs before embarking on an event. This will help you monitor your expenses. It will also help you determine your fundraising goals. Fundraising – Set a target (the lower your cost, the higher the contribution).
Submit event proposal form for approval EVENT APPLICATION FORM. This application must be submitted and approved by Kinsa prior to soliciting sponsors, publicizing or holding the event.
Determine how money will be collected and handled. Discuss plans for tax receipts with Kinsa staff.
Determine legal, insurance, liability, permit and safety issues you may need to address.
Develop an advertising plan: Flyers, posters, other promotional materials – try to generate awareness and excitement about your event. Kinsa may choose to promote your event through its website and social media outlets.
Petition for sponsors.
Invite participants.
Have a clear checklist, agenda and timeline for the day of the event. Have the phone numbers of all participants on hand. Make sure that all involved in planning have these lists available to them and on hand the day of the event.
Have a plan for the layout/set up of the venue.
Make sure you have help for set up and tear down.
Submit all proceeds to Kinsa.
Provide Kinsa with a list of all event sponsors, volunteers, organizers: Kinsa will want to personally thank al participants.
Kinsa has a legal obligation to be consistent with Canada Customs and Revenue Agency guidelines. Event organizers must handle all monies until the official donation is submitted to Kinsa - To ensure there is a distinction between Kinsa and all third party events.
Any material used to promote the event must clearly state the percentage of proceeds that will benefit Kinsa.
Kinsa must receive the money raised within 90 days of the event.
You will not be permitted to use the Kinsa logo without receiving prior written permission. The event must show sufficient potential for income and/or community awareness for Kinsa to warrant the use of its name and/or logo.
Kinsa reserves the right to withdraw the use of its name at any time, and will not assume any costs that may be involved in doing so.
If the event is cancelled, the event organizer agrees to contact Kinsa at least 48 hours prior to the event.
